Summary: This position will assist the Agency Relations Department and other executive staff as needed by performing administrative and clerical functions. This position will also oversee the administrative tasks associated with the St. Nicholas Project.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
In-Kind/Inventory/St. Nicholas Project Support
- Ability to answer St Nicholas Project email account.
- Physically accept donation deliveries/sort and keep a record of fulfillment.
- Ability to oversee and manage accurate inventory records.
- Monitors the donation room to ensure organization and cleanliness.
- Engage and communicate with donors/sponsors to coordinate donation logistics.
- Facilitates logistics related to the delivery of donations.
- Assist with planning / setting up and implementing “St. Nick Shopping Day.”
Agency Relations Advocacy Support
- Set up, coordinate, and assist with meeting planning and conference attendance/logistics.
- Participate in the set-up and clean-up for meetings and events.
- Assist with departmental convening coordination/planning.
- Other duties as assigned.
General Administrative Support
- Perform general clerical duties including, but not limited to, photocopying, mailing, faxing, and filing.
- Create and modify documents and presentations in Microsoft Office.
- Coordinate with the Finance Department and complete AFPs as assigned.
- Support the Agency Relations team staff and provide backup support to the Executive team as needed.
- Provide support to interns, volunteers, and others as assigned.
Pay: $20-$28 / hourly
Position Type and Expected Hours of Work: 9:00 am - 5:00 pm
Ability to work some evening and weekend hours are required.
Working conditions and physical demands required:

- Work in a storage facility and receive/physically handle donated packages.
- Travel approximately 50% of the time to various sites throughout The Archdiocese of New York.
- Move and transport documents, objects, and other event materials.
- Ability to lift and carry at least 20 lbs.
Education and/or experience required:
- An associate’s degree is required; a bachelor’s degree is preferred.
- 1-3 years of inventory and/or in-kind donation administration experience
- Experience in project management a plus
Skills, Licenses, and/or competencies required:
- Excellent communication, listening, and organizational skills.
- Knowledge of MS Office, Excel, Word, and PowerPoint.
- Ability to work independently.
- Driver’s License is helpful.
- Work well under pressure.
